§01Invoices and payments

Deposit in, balance on the calendar.

Issue invoices with instalments for deposit and balance, let clients pay by card from a secure page into your own Stripe account, and record bank transfers beside them. The invoice updates itself, and the ledger keeps the trail.

Provider dependent. Card payments need your own Stripe account, onboarded through Stripe Connect.

§02The chase

Has the deposit actually landed?

Today

  • Deposits are tracked in a spreadsheet, and balances in somebody's head.
  • Clients are sent bank details by email and left to get on with it.
  • Reconciling a transfer against an invoice happens at the month's end, if at all.
  • A credit note means starting from scratch.

With Yachtbase

  • Instalments sit on the invoice: deposit now, balance on a date you set.
  • Clients open a secure invoice page, download the PDF and pay by card.
  • Card payments reconcile against the invoice. Manual transfers are allocated across invoices.
  • Credit notes, statuses and a ledger make the position clear at any moment.

§03Why it matters

Three things that change.

01

Deposits and balances built in

Instalment schedules on each invoice, with status running from draft to issued, part-paid, paid, overdue or credited.

02

Paid straight to you

Each workspace connects its own Stripe account, so card payments go directly to your charter or brokerage company.

03

A ledger you can audit

Payments create ledger entries, and database constraints prevent the same payment being allocated twice.

§04How it fits your day

Three steps, no manual.

  1. Step 1

    Issue from the deal

Create the invoice from an accepted quote or booking, with lines, tax and an instalment schedule.

  2. Step 2

    Client pays

They open the secure page and pay by card, or you record a bank transfer or cash payment.

  3. Step 3

    It reconciles

The invoice moves to part-paid or paid and the ledger records it.

§05Capabilities

What it does for you.

  • Invoices and credit notes

Numbered invoices tied to your finance profile: legal entity, VAT and bank details.

  • Instalment schedules

Deposit and balance with due dates. Overdue ones are easy to spot.

  • A public invoice page

A secure link with the PDF and a Pay now button through Stripe.

  • Manual payments

Record bank transfers or cash, and allocate a payment across several invoices.

  • Refunds and disputes

Connect payments are reconciled against invoices, including refunds and disputes.

  • Expenses and suppliers

Supplier directory, an approval workflow, recurring expenses, and cost allocation across yachts, bookings or owners.

§08Questions

Asked and answered.

Whose Stripe account takes the money?

Yours. Each workspace onboards its own Stripe account and card payments are direct charges to it. Yachtbase's own subscription billing is separate.

Do we have to take card payments?

No. You can record bank transfers and cash payments manually and allocate them against invoices.

Can we handle several currencies?

Invoices and bookings carry a currency, and financial totals in analytics and owner statements are kept separate per currency rather than mixed.

Is it an accounting system?

No. It records invoices, payments and a ledger trail for your commercial work, and exports data in CSV, Excel and JSON. Keep your accountant for the books.

Is invoicing switched on by default?

Invoices and expenses are enabled per workspace, once your finance profile is set up.
