§01Quotes accepted online

A quote that can't change behind your back.

Send a charter, sale or services quote from your own mailbox. The client opens a secure page, reads it, downloads the PDF and accepts or declines. Every revision is a new version, so accepted terms stay exactly as agreed.

§02The attachment

Version four, final, final-2.

Today

  • Quotes travel as attachments, edited on the quiet and re-sent with a new filename.
  • Nobody can prove which version the client agreed to.
  • Acceptance is a reply that says 'fine', buried in a thread.
  • Turning an agreed quote into a contract means typing it all again.

With Yachtbase

  • The client opens one secure link, and you see when it was sent and what happened next.
  • Every revision is a new, immutable version. Agreed terms cannot be altered.
  • Acceptance happens on the page, with a clear status: accepted, rejected, expired or revoked.
  • An accepted quote converts into a charter flow, contract, hold or invoice, with duplicate protection.

§03Why it matters

Three things that change.

01

Accepted, not assumed

The client accepts or rejects on a public quote page and can download the PDF. You see the status without asking.

02

Versions you can trust

Revising a quote creates a new version rather than rewriting the old one, so the terms you agreed stay fixed.

03

From your own mailbox

Quotes, reminders and resends go out from the sender mailbox you choose, with a delivery log and a retry if something fails.

§04How it fits your day

Three steps, no manual.

  1. Step 1

    Build it from the record

Pick the quote type, charter, sale, services or custom, and draw on the yacht, client and season prices.

  2. Step 2

    Send and follow

Send it, remind or resend, and see whether it has been delivered and answered.

  3. Step 3

    Convert on acceptance

One click turns an accepted quote into a hold, a contract or an invoice, without re-entering anything.

§05Capabilities

What it does for you.

  • Four quote types

Charter or rental, yacht sale, services and custom, each with the structure that suits it.

  • Immutable versions

Every revision is kept. You can always show what was offered, and when.

  • Send, remind, resend

Reminders and resends from your mailbox, with a delivery log and retry.

  • A public page and a PDF

A secure quote page the client can open on any device, with a PDF to keep.

  • Convert without duplicates

Accepted quotes flow into a charter, contract, hold or invoice, and cannot be converted twice by accident.

  • Quotes inside the conversation

A quote can be sent as part of an email thread, so the history reads in order.

§08Questions

Asked and answered.

Can a quote be changed after the client accepts it?

No. Accepted terms are fixed. If something needs to change, you issue a new version, and the earlier one stays on the record.

Does the client need an account?

No. They open a secure link, view the quote and accept or reject it. They can also download the PDF.

Where does the quote email come from?

From a mailbox you have connected and chosen as the sender, so replies come back to your own team inbox.

What can an accepted quote become?

A charter flow, a contract, a hold or an invoice, with protection against creating duplicates.

Is it switched on for everyone?

Quotes are enabled per workspace. We switch modules on as your team is ready for them.
