§01Bookings, holds and calendar

Hold the week. Let it expire gracefully.

Reserve dates for a client with a hold that lapses on its own, convert it into a booking when they commit, and let the system refuse a clash. One calendar shows bookings, holds and tasks together.

§02High season

Two clients, one week in July.

Today

  • Dates are 'pencilled' in a shared calendar and nobody remembers to release them.
  • Two brokers promise the same week to two clients.
  • Deposits and balances are dates in different people's diaries.
  • Owners ask what happened to their yacht, and the answer is a search.

With Yachtbase

  • A hold has an expiry. When it lapses, the dates come back without anyone chasing.
  • Saving a booking locks the yacht and rejects overlapping dates.
  • Payment milestones such as deposit and balance live on the booking, with a status.
  • Every change is on the booking's timeline, and the owner's outcome is tracked.

§03Why it matters

Three things that change.

01

Holds with a deadline

Reserve dates while the client decides. A hold is active, expired, released or converted, and an administrator can override it.

02

No double bookings

Overlapping dates are rejected at the point of saving, because the yacht is locked while the booking is written.

03

One lifecycle

From enquiry to quote, confirmed, deposit paid, active and completed, with the full timeline kept.

§04How it fits your day

Three steps, no manual.

  1. Step 1

    Place a hold

Reserve the dates against the yacht with an expiry while the client considers the quote.

  2. Step 2

    Confirm the booking

Convert the hold, with guests, extras, commission and the deposit and balance milestones.

  3. Step 3

    Run the charter

Tasks for check-in and check-out sit on the same calendar, and the outcome feeds the owner's statement.

§05Capabilities

What it does for you.

  • Calendar by month, week or day

Bookings, holds and tasks in one view, rather than three.

  • Milestones for money

Deposit and balance with due, issued, paid, overdue or void status.

  • Extras and commission

Guests, subtotal, tax, discounts, extras and commission recorded on the booking, with public and internal notes.

  • Send the quote from the booking

Confirm, transition, cancel with a reason, send a quote or export, from the booking itself.

  • Source of every booking

Mark a booking as direct, partner or API, so you can see which channels earn their keep.

  • Owner outcome

Each booking carries an owner status: pending, approved, disputed or settled, which feeds the Owner Portal.

§08Questions

Asked and answered.

What happens when a hold expires?

It is marked as expired and the dates are released. A hold can also be released by hand or converted into a booking, and administrators can override one when needed.

Can it really stop a double booking?

When a booking is saved, Yachtbase locks the yacht record and rejects overlapping dates, so two people saving at the same moment cannot both succeed.

Do holds come switched on?

Charter holds are enabled per workspace, along with other modules such as tasks, quotes and invoices.

Can we see this on a phone?

The dashboard is responsive, so the calendar and bookings work in a mobile browser.

Does it sync with Google or Outlook calendars?

Yes. The calendar syncs both ways with Google Calendar and Outlook, so bookings, holds and tasks appear where your team already looks, and changes come back into Yachtbase.
