The problem with quote ambiguity
A broker sends a quote email with pricing, terms and conditions. Three days later, the client replies "I need a discount". The broker revises and sends a new version with different numbers. A week later, the client says "I was accepting the first one, not the new one." Whose terms apply? Which price is binding? The broker has two versions in their inbox and no way to prove what the client agreed to.
Yachtbase creates versioned quotes. Every time you revise a quote, it becomes a new version. Your client sees the version you are asking them to accept. When they click accept, that version—with those exact prices, terms and conditions—is locked. It cannot change. You cannot edit a sent quote. If you need new terms, you create a new version and ask the client to accept again.
This transforms a quote from an email that could mean anything into a contract that means one thing. When the client accepted, they accepted this exact version. When you moved to the next step (charter contract or sales invoice), you built it from the accepted quote. There is no argument about terms later.
What you can do now
- Create a draft quote: Build a quote for charter, rental, yacht sale or services. Include pricing, discounts, terms and any extra charges.
- Preview and send: Review the quote as your client will see it. Send it from your chosen mailbox with a subject line and message body you control. Yachtbase tracks the delivery.
- Share a public link: The client views the quote on a branded page—not an attachment, not buried in email. They can download the PDF.
- Accept or reject online: The client clicks accept or reject. No email back-and-forth. No ambiguity. The action is recorded with their name, email and timestamp.
- Create new versions: If the client wants to negotiate, you create a new version with different pricing. Send it as a new quote. The old version stays locked.
- Convert to the next step: Turn an accepted quote into a charter flow, contract, hold or invoice. The conversion keeps the accepted terms so there is no drift.
Why it matters
Disputes about pricing and terms cost time and damage relationships. A client insists they accepted cheaper terms. A broker says they changed the terms after rejection. The email thread is too long to audit.
Locked, versioned quotes are like signatures—they create a moment in time. The client cannot claim they accepted different terms. You cannot change a quote after sending it. This moves yacht sales from "we will sort it out" to "this was agreed on 15 August at 3pm".
